Rooms have been pre-booked for participants at the Windsor Barra Hotel and at several other hotels nearby.
Rates indicated below have been especially negotiated for the Forum. They are quoted in Euro (€) and in Brazilian Real (R$) and are per night and per room. Exchange rate on 10th April 2009: 1€ = R$ 2,85.

WINDSOR BARRA HOTEL

The Windsor Barra Hotel overlooks the 18 km Barra da Tijuca Beach and Ecological Reserve. It provides a fitness center, outdoor swimming pool, laundry facilities, and a business center. There are also two restaurants offering 24-hour room service, and two bars, one located on the roof. The 17 story hotel has 338 guestrooms and is directly linked to the Convention Centre.

Included: breakfast, baggage tax, parking free for guests, free local phone calls (except cellular)
Not included: 10% service tax, 5% government tax and USD 3 city tax

SHERATON BARRA HOTEL & SUITES

The Sheraton Barra Hotel & Suites was the first five-star hotel on Barra da Tijuca beachfront. The hotel has 292 rooms and suites, all with private balconies and views of the beach. The two swimming pools and Jacuzzis are set in landscaped gardens. The hotel also has a gym, sauna and squash courts. It takes 5 minutes to walk to the Windsor Barra Convention Centre.

Not included: 5% city tax + R$ 7 Bureau Contribution – Breakfast Buffet: included

ROYALTY BARRA HOTEL

The Royalty Barra Hotel is located directly on the waterfront of Barra da Tijuca by Pepes beach. The 4* hotel has 249 rooms with balconies overlooking the ocean or mountains. The hotel provides three dining options: a restaurant, which specialises in international cuisine; a lobby bar and a poolside bar. Leisure amenities include a gym, sauna, Jacuzzi and rooftop swimming pool with spectacular views.

TO MAKE A RESERVATION

In order to benefit from the above mentioned rates, reservation requests have to be submitted and handled exclusively by MCI.

Reservation requests have to be submitted to the Organising Secretariat in one of the two following ways and this by 24th JULY 2009 AT THE LATEST:

1. by secure online registration
   Please note that in order to book online, you have to do it at the same time as your registration and you need to pay by credit card (VISA, MASTER, EUROCARD, AMERICAN EXPRESS) or bank transfer.
   
   
2. by fax or post: in this case, the hardcopy reservation form here enclosed needs to be completed and sent to the Organising Secretariat accompanied by your payment.

ACCOMMODATION RESERVATION FOR SPONSORS & EXHIBITORS

Sponsors and Exhibitors may send their accommodation requests directly to: registration@wlpgasforum2009.com specifying that they are WLPGAS 2009 Forum sponsors of exhibitors.

For group booking (10 rooms and above), a special room reservation form will be available in the exhibitor's technical manual. For more information, please contact: exhibition@wlpgasforum2009.com

RESERVATION PROCEDURE

• A full stay deposit will be requested to guarantee your reservation. Deposits to MCI will have to be
  made in Euros only. No deposit payments in Real or USD will be accepted.
• A fixed charge of 20 € per reservation for handling fees will be required for all hotel reservations.
• The deposit will be deducted from your total hotel bill upon check-out.
• “No Shows” on the first night will automatically cancel the entire reservation and involve the loss of the entire deposit. Hotels reserve the right to charge you also for the remaining cancelled nights uncovered by the pre-paid deposit.
• If you shorten your stay, the hotel may ask you for the payment of the cancelled room nights.

CONFIRMATION

Upon receipt of your hotel reservation request, MCI will send you an invoice/confirmation letter summarising accommodation details and specifying payment status.

CANCELLATION POLICY

Cancellations must be notified in writing to the Organising Secretariat and are subject to the following conditions:

• Up to 24th July 2009, 100 € will be withheld for administrative fee.
• After 24th July 2009, no refunds will be issued.

No deposit refunds will be issued for cancellation or no-show due to failure to obtain a visa.

INDIVIDUAL ACCOUNT

All guests will be responsible for their own accommodation and incidental charges which are to be settled upon departure from the hotel.
